Balch Word Perfect 5.1 Charles Balch, Last Revision: Fall 94 There are a few commands that you have to know before you can effectively use any word processor. A few other commands will greatly improve the quality of your work and, finally, there are many other commands that will save you time in very specific situations. This handout covers the first and second groups of commands for Word Perfect. Nothing replaces time spent on a computer as the best way to learn, Always read the screens and pay careful attention to the results of your commands. Starting Word Perfect Before you can do any work, you have to be able to start Word Perfect. Usually this will simply be a matter of turning the computer on and selecting from a menu. At UVI, log in, select the Applications menu, then the Word Processors Menu and finally the Word Perfect Menu. For other places, it may be best to have someone who knows what to do write down the exact keystrokes that you should use. Try them before the person leaves! Editing This is both the simplest and the hardest part. Type in the normal way (except don’t press return at the end of a line). Use the arrow keys to move your cursor to the desired area. Erase characters by moving your cursor on them and pressing the “DEL” or “delete” key. Save Press the F10 key to save your document. You will be prompted for a filename and path. Be sure to use the right path! If you are not sure what those terms are, just type in a name you can remember that is eight characters or less. The name should have no punctuation of spaces in it. After typing the name/path, press the enter key. Quit Press the F7 key to quit. You will be asked if you want to save your file. The usual answer would be “yes.” You will then be asked if you want to exit Word Perfect. Again you would usually select “yes.” Sometimes you will just want a fresh screen, in this case you would select “no” to exiting Word Perfect. The F7 and F1 keys are often used to exit from the middle of other commands. Retrieve To get a file that you previously saved, press F5. Be sure to start with a blank document (see quit). If WP asks if you want to merge into the current document, answer “No.” Print Always save your document before printing then press “shift-F7” to print. Bold There are two ways to make a word bold: Press F6, type the word(s) then press F6 again. Type Alt-F4, use arrows to highlight the word(s) then press F6. Underline There are two ways to underline a word: Press F8, type the word(s) then press F8 again. Type Alt-F4, use arrows to highlight the word(s) then press F8. Center To center a line, move your cursor to the beginning of the line and press shift and F6. Spell Check As this is an area where many word processors act up, it is a good idea to save your document before a spell check. Start a spell check by pressing ctrl-F2. Thesaurus To get alternate words for the word that your cursor is on, press ALT and F1. Tables There are two ways to create a table. You can use the table command or set up tabs. The table command is preferred in Word Perfect. The sequence you should follow is: Create the table; Exit the table; Add your data; Format the table. Creating a table Before you start creating a table, you should calculate the number of columns and rows that you will need for your table. Don’t forget to include a row for the table titles. ALT-F7 creates a table. Choose 2 for tables then 1 for create. Exiting a table The Exit key is F7. Adding Data After exiting, just type in your data. There are a few tricks you must remember when adding data to a table: Never press Enter inside a table; Only use the space bar between words; Use arrow keys or TAB to move between cells. Formatting a Table Once you have entered your data, you are ready to format your work. With your cursor anywhere in the table, press ALT-F7. Now you can do any of the following commands: Center the Table: Options Position Center Center a column: Format CoLumn Justify Center Decimal Align a column: Format Column Justify Decimal Add a row: Size Rows # Add a Column: Size Columns # Changing Column Width: Use the left and right arrow keys while pressing the control key. Solutions Things look and/or print funny WordPerfect uses formatting codes to control its output . Occasionally you will give WordPerfect an incorrect formatting code. This sometimes happens without your even noticing. Use ALT-F3 to reveal your text editing codes. ALT-F3 splits your screen and give you two cursors. Formatting codes appear on the bottom screen within brackets [ ]. Move your “bottom” cursor on to the code(s) that look “odd” (anything you don’t recognize is odd). With the odd code highlighted, press the delete key to erase. Note that pressing the RETURN key creates a code called [HRt]. [HRt] should only appear at the end of paragraphs. Never anywhere in a table.
